Every booking has a status that's calculated from the booking's appointment time and whether it's been cancelled. There are three:
Upcoming (blue)
The appointment is in the future and the booking has not been cancelled. This is the active state — the patient is expected to attend.
Completed (green)
The appointment time has passed and the booking has not been cancelled. The system assumes the booking happened. (Whether the patient actually attended for billing purposes is a separate question — see What "new patient" means and how we identify one.)
Cancelled (red)
The booking was cancelled — either by the practice, the patient or by support. Cancellation can happen at any point before or after the appointment time.
Where the status appears
- The Status column on the Bookings list, as a coloured badge.
- The status badge in the Booking Details dialog header.
Filtering by status
The status filter on the Bookings page lets you narrow to one or more of these:
- Upcoming — useful for tomorrow's prep.
- Completed — useful for billing review or follow-ups.
- Cancelled — useful for tracking patterns of cancellation.
Tips & things to watch for
- "Completed" doesn't necessarily mean the patient attended. If they didn't show up — an FTA or DNA — the booking still shows as Completed (because the time passed). To stop a no-show booking from being billed, or to mark it as not-a-new-patient, use the billing flow. See Mark a patient as FTA, DNA or not a new patient (and other reasons to dispute a charge).
- A cancelled booking can never become Upcoming or Completed again — it's a terminal state.
