Sometimes a single practitioner has rules that differ from the practice as a whole — different cancellation windows, different eligibility criteria, or specific billing rules. The per-practitioner Policy field is where you put that information, separate from your practice-wide policies.
Where it appears
The per-practitioner policy is shown to patients when they're booking specifically with this practitioner. It's separate from the practice-wide policies set under Setup → Policies.
Steps
- Open the practitioner's edit page.
- Scroll to the Online Booking Settings card.
- Type into the Policy textarea (3 rows; expands as you type).
- Click Save Practitioner.
On-page guidelines
The portal includes specific guidance for what to write here:
- Don't repeat information from your practice policy — patients see both, so duplication is noise.
- Don't include any phone number or website address.
- Don't direct patients to book outside of Fixed Price Dental.
- Keep messaging short and concise — patients tend to skip long messages.
The field is an addition for things genuinely specific to this practitioner. If a rule applies to the whole practice, put it under Setup → Policies instead.
Examples of good per-practitioner policies
- "I require a 24-hour cancellation notice for all surgical appointments. Cancellations within 24 hours may incur a fee."
- "Specialist referral required for orthodontic consultations."
- "I see paediatric patients on Tuesdays and Thursdays only."
Tips & things to watch for
- Leaving the field blank is fine — patients just see the practice-wide policies.
- The textarea is enabled only if Visible for Online Bookings is on. If you've hidden the practitioner from online bookings, the field is disabled — patients can't see them, so the policy isn't shown either.
- The field is a free-text textarea — no formatting (bold, links, lists). Plain prose only.
