An offer is a priced, searchable appointment type — the kind of appointment new patients can find on the marketplace and book directly with you. You'll need a service category, name, fee and inclusions / terms wording.
What you'll need
- A service category that fits the appointment.
- The total fee you'll charge.
- A short inclusions list and any terms or disclaimers.
- Optional: a default duration, a consult fee component, the No Gap flag.
Steps
- Go to Setup → Appointment Types.
- Click Add Appointment Type in the top-right.
- The dialog opens on the Offer Type tab.
- Pick the Service Category — start typing if there are many. Picking a category with a template will reveal a Use template button next to Inclusions and Terms.
- Enter the Name (e.g. New Patient Comprehensive Exam). The portal auto-capitalises titles; you can undo if you don't like the change.
- Set the Default Duration (in minutes) if you want one. Optional but helpful — practitioners can override it.
- Fill in Inclusions. Click Use template if you'd like to start from a template.
- Fill in Terms / Disclaimer. Same template option.
- Set the Total Fee in dollars and cents.
- Set the Consult Fee if part of the total fee is a consult charge that's already included. Leave blank if not. The consult fee must be less than or equal to the total fee.
- Tick No Gap if this offer has no out-of-pocket cost for patients with health insurance.
- Click Save. You'll see "Offer created successfully" and the dialog closes.
The new offer appears in the appointment types table.
After adding an offer
- The offer is not yet bookable — you also need to enable it on at least one practitioner. Go to Practitioners, edit a practitioner, scroll to the Appointment Types card and switch the new offer on. See Choose which appointment types a practitioner can do.
- If you're integrated with a PMS, you'll also want to map this appointment type to its PMS equivalent on each practitioner. See Map appointment types to your PMS.
Tips & things to watch for
- The total fee field is a currency input — type the dollar amount and decimals as normal.
- Picking the wrong service category is the most common mistake. The category drives search visibility, so spend a moment getting it right.
